Technovit’s growing business where ERP and BI technologies organize process management

“Technovit is among the leaders in the distribution of adhesive technologies, speciality chemicals and paints for the heavy industry in Bulgaria. The company’s distribution program includes adhesives, lubricants, silicones and sealants, paints and varnishes, auxiliary materials and equipment. The company offers coatings for surface treatment, corrosion protection and metal decoration. 

Since the beginning of 2024, Technovit has automated its business process management through the Enterpoint ERP software and BusinessPace BI system implemented by the Balkan Services team.

Accurate insight and advanced analysis 

Technovit introduced ERP due to increasing work volume. Before implementing the new software, the company relied on an accounting program to perform sales and expense-related reporting, and sales returns were reported in spreadsheets.

This way of working was optimal and met the company’s needs at the beginning of its lifecycle. As the business grew, reporting became more complex, and the risk of manual data entry errors grew. An analysis system also needed to be developed. 

We needed a management solution with a more accurate business view. We also needed an analytics piece summarising performance information to draw timely conclusions about the right steps.”

This is how Technovit’s manager, Yulian Shivarov, described the factors that led the company to implement ERP and BI systems.

The company was at such a stage in its development where the growth of the business naturally led the workflow management towards optimization,” shared the impressions of the ERP consultant from Balkan Services Suzana Petkova.

After recommending Balkan Services’ products and consulting services, Technovit chose the off-the-shelf Enterpoint ERP solution and Qlik Sense business analytics software. The two systems are implemented in parallel and connected and have worked as one organism for almost one year.

Enterpoint ERP: A powerful tool in the hands of Technovit

The combination of Enterpoint and the BI system facilitates the work of management and company employees at the operational level.

The cloud-based Enterpoint is a basic ERP solution that works only with the latest software and fully complies with Bulgarian legislation and accounting standards. 

Implementing the ERP software at Technovit takes about a month – it happens smoothly and without difficulties. The key users were trained in parallel, allowing the company to start working with the system quickly.

Enterpoint ERP is a powerful tool that gives the company a clear view of the business at any given moment,” summarized Susanna Petkova.

The solution secures the company’s core business processes – warehouse management, sales, purchasing, specific kitting and in-house paint mixing. 

The ERP system provides better traceability and production and customer order fulfilment management.

Our team introduced prescription receipts into the ERP platform to secure one of Technovit’s operations’ specifics. This functionality allows real management of the paint mixing process.

The Balkan Services team assisted in implementing the first monthly closing in the ERP system, and the documents were submitted on time.

Thanks to Enterpoint, Technovit can track the targets set to be met by traders. The information on the number of deals concluded is entered into the ERP system, and subsequently, the BI software allows for the analysis of the results achieved.

The codification of the nomenclatures in the ERP system is another specific feature of the project.

We made a new version of their item code. The product number gives information about the category it falls into, what type it is and which direction it is in, thus facilitating orientation,” explained Suzana Petkova, adding that the system can be easily consulted. Various sections and categorizations can be made.

BI sales analysis

Technovit’s business analytics system, BusinessPace, is an essential software solution that covers the company’s key sales indicators – turnover, number, average number of sales per retailer, average turnover per retailer and sales by category. 

The BusinessPace tool is based on Qlik Sense BI software and allows you to compare the current year with the previous year by manufacturer, brand, product type, package, partner, city, and merchant.

Our team has been feeding the software with historical data since 2019. This allows the company to compare data across different periods. 

“Technovit has a history of sales from back in time. This helps them make management decisions,” explained Dimitar Prodanov, Managing BI Consultant at Balkan Services.

The BI solution lets you see the company’s top 10 customers, brands and products with one click.

Using the information from the payment terms, our team created functionality that calculates the share of overdue receivables. The BI system displays the top 10 companies by this metric.

“This helps the client to collect their receivables on time and reduce the number of arrears,” explained Dimitar Prodanov.

He highlighted that the report generation tool enables the company to make cross-sections and use the information from the accumulated data.

The system’s functionalities allow for a Pareto analysis of net sales over the past period.

Systems upgrade

While working with the new systems, Technovit upgraded the essential ERP software with additional functionalities. More accurate warehouse and production management was added, and expiry dates and batch numbers were covered. An analytical part of the solutions was related to the distribution of traders by region and customer.

“Thus, in the analytical part, it is much easier to see who has what results,” said Julian Shivarov.

In summary, the ERP system facilitates processes and optimizes the flow in operational terms, and the BI system reflects on management and the direction of decision-making.

“We have become much more efficient and reduced errors in our daily work.

We now have clear parameters regarding stock. Based on this, we can forecast what to order and how to reduce outdated goods.

The daily work of the company’s employees is easier – now everything is entered into Enterpoint.

The ERP software allows reporting on customer and product movements, and invoices are issued instantly. This makes us much more efficient.

BusinessPace allows us to benchmark all our key sales metrics and see where we are against the set plan. This functionality of the BI system helps us with analysis and decision-making for future actions.

With Qlik, we know what plan a salesperson needs to execute and where they are against it. This is very useful because when working in spreadsheets, things happen more cumbersomely and slowly.

The software reduces the risk of errors and frees up colleagues’ time so they do not have to work under pressure and worry about whether they can prepare the relevant documents on time. They are now much more focused on customer and supply chain management.

The advantage is that we can instantly check how the week or month is going weekly, monthly or yearly. This makes it easy to see our sales by product, group, and brand and assess where we need to take action.”
